Plain-language summary for the beta. Last updated 13 October 2026.
What we keep
Your email address, the receipt details you review (vendor, date, items, amounts, categories, notes) and your spreadsheet mappings. These stay until you delete them or your account.
Receipt photos
How long Sumfolio stores a photo depends on your plan: 60 days during the beta, 14 days on Starter, and not at all on Free or if you turn on “Don't keep photos on Sumfolio” in Settings. After that time it is deleted from our servers. If you connect a Synology NAS or Google Drive, each receipt's photo is copied there first, and the app shows it from your copy afterwards. Without one connected, photos are gone once that time is up (straight after reading when photos aren't kept), so download any you need.
Who reads your receipts
Receipts are read by an AI model. By default that's a model we run ourselves. If it's unavailable, Sumfolio may fall back to a cloud AI provider; you can turn that off in Settings, in which case receipts wait for review instead. Each receipt shows which model read it. If you add your own AI key, your receipts go to that provider under your account and their terms. We can't delete data held by an external AI provider.
Your spreadsheet and storage connections
Connection passwords and tokens are encrypted at rest and used only to write your rows and archive your photos. Google access is limited to files you pick or that Sumfolio creates.
Deleting things
You can delete any receipt, its photos, or your whole account from Settings at any time. Database backups roll off within 30 days.
